Terms of use

1. The service
HDR Compass is advisory software for housing-disrepair practice workflows (vetting and case review). It is not a substitute for legal advice, supervision, or your firm’s compliance processes. Advisory output only. Every criterion and recommendation is reviewable by a fee earner before export. Workflows are England-focused; Wales is not fully modelled.
2. Accounts and licences
Access to Cases and Vetting requires a registered account and an active organisation subscription (Solo, Practice, or Firm) unless you are on an expressly agreed trial. Plans are organisation licences sized by indicative practice capacity; multi-user invites and hard seat enforcement are not yet shipped — do not rely on seat caps as a technical control. You must keep credentials confidential and use a work email you are authorised to use.
3. Your content and storage
Case files remain under your firm’s control (local or synced folder access via the browser). You are responsible for lawful processing of client data and for configuring firm storage appropriately. Microsoft Graph / OneDrive API connection is not included until expressly shipped.
4. BYOK AI
If you enable AI features, you supply your own provider credentials. Usage charges from that provider are your responsibility. Do not send data to a provider in breach of client confidentiality or your firm policies.
5. Acceptable use
You must not misuse the service, attempt to circumvent licence controls, probe other organisations’ data, or use the service for unlawful purposes.
6. Fees, renewals and cancellations
Subscription fees are charged via Stripe according to the plan you select and are exclusive of VAT, which will be added where applicable. Subscriptions renew automatically at the end of each billing period until cancelled. You may cancel at any time through the billing portal where enabled; access continues until the end of the paid period. Fees are non-refundable except where required by law. Downgrades take effect according to Stripe period rules. We will give at least 30 days’ notice of any price change.
7. Disclaimer and liability
The service is provided on an “as is” basis to the extent permitted by law. We do not warrant that outputs are complete, accurate, or suitable for filing without fee-earner review. Nothing in these terms excludes liability that cannot be excluded under English law. Subject to the preceding sentence, our total aggregate liability to you arising out of or in connection with these terms or the service, whether in contract, tort (including negligence), or otherwise, is limited to the fees you paid in the 12 months preceding the event giving rise to liability. Nothing in this clause limits liability for fraud, wilful default, or breach of confidentiality.
8. Governing law
These terms are governed by the laws of England and Wales. Courts of England and Wales have exclusive jurisdiction, subject to mandatory consumer protections if applicable.
